    Choosing a moving company

    When you put your valuables in the hands of a professional moving company, you need to check to make sure the professional movers you select are reliable and have a good reputation.

    • Find a reputable moving company.
      Make sure the moving company you select is a licensed moving company.
    • Gather business information.
      Ask moving companies how long they have been in business, where they are physically located, and for references. If a company cannot provide references or does not offer on-location estimates, you should check around to find a more reputable moving company.
    • Ask about a damage policy or insurance.
      Find out the details of the moving company's damage policy and review your agreement carefully for red flags like blanket damage waivers.
    • Learn about how customer complaints are handled.
      Find out how the company handles complaints and claims if any items get broken or lost during the move.
    • Understand all the delivery details.
      Take your time reading the documents before signing to make sure you know exactly what the move details are. Some moving companies guarantee on-time delivery, and others don’t.
    • Ask about additional charges.
      Find out if there are any circumstances that might result in additional fees and charges.
    • What are the payment options?
      Is a deposit required prior to the move? Are credit cards accepted, and if so, which ones?

    Packing for the move

    Packing can be stressful, but the earlier you start packing, the easier it will be on moving day. Follow these helpful tips and tackle your packing like a champ.

    • Donate equipment you do not need.
      Now is a great time to clean out the equipment and office items you no longer need or use. Instead of paying to have these items moved, donate them to charity.
    • Begin packing early.
      Start with the least-used items and pack up a few boxes a day.
    • Even if the moving company handles the packing, still prepare ahead of time.
      Professional movers will pack everything left in the space, so throw out perishables and items that you don’t want at the new location prior to the movers’ arrival.
    • Keep an inventory of the items you pack.
      Number the boxes or label them by category to keep track of what is packed where, and to make unpacking smoother. You can create an business inventory checklist as you go.

    You will need to clean the property or office space when you move out. For large office spaces, it may be worth hiring a cleaning company to knock this out. Check your area to see which reputable cleaning companies are available and contact them about pricing and other details.

    Keep employees informed

    Employees are generally responsible for taking care of their personal belongings at work. Have employees pack up their belongings (empty their desk drawers, etc.) prior to the move. Also, make sure to keep employees up-to-date on the moving details such as the date, new address and any other important information they will need to know.

    Spread the word and update company information

    You will need to update your new address on business cards, your website, social media and any other places where your address appears. Notify the postal office of your move, along with creditors and your bank as well. You may choose to send a move announcement to customers, vendors and other associates to get the word out.

    Use sustainable packing materials

    Moves can reveal how much we can accumulate and how much we waste. Why not use eco-friendly packing materials to minimize waste associated with your business move?

    Environmentally-friendly packing materials

    • Newspaper or recycled packing paper
      Rolled up into balls, old papers can cushion fragile items at little or no cost.
    • Cardboard
      Leftover cardboard boxes can be torn into strips and then wrapped around items.
    • Packing peanuts
      Biodegradable packing peanuts made from grain sorghum and cornstarch are perfect for packing.
    • Rolled foam
      Use starch-based, anti-static rolled foam to cushion electronics and other dust-sensitive items.
    • Popcorn
      Not just for snacking, popcorn (unbuttered) has a springiness that makes it an ideal way to package delicate items.

    Move reminder checklist for businesses

    Stay organized throughout the relocation process by referring to this detailed moving checklist. We’ve listed things you need to start doing 90 days before your move and ending with the final steps you need to take to settle into your new space. Some businesses may require a slightly longer or shorter timeline, depending on the size of your business and your lease requirements. Please use this checklist as a guide, adjusting the dates and adding or removing tasks as necessary.

    90 days before moving day

    • Choose a reputable moving company.
    • Verify the services the moving company can provide.
    • Start an inventory of your office supplies and equipment. Donate or discard any unnecessary items. 

    60 days before moving day

    • Notify employees, clients and important contacts that you are moving.
    • Fill out a change of address form at USPS.
    • Start donating items you no longer need.
    • Contact your bank to:
      • Transfer accounts as needed.
      • Order new checks with your new address. 

    30 days before moving day

    • Review our FAQs about selecting an electricity plan for your business.
    • Visit reliant.com to sign up for electricity service online or to transfer your service to a new address.
    • Make a make a moving day checklist to set yourself up for a smooth transition.
    • Organize important documents in fire-safe, secure containers. Potentially make arrangements to move your most important or confidential documents yourself.
    • Update your insurance policies. 
    • Begin packing less-used items.
    • Number, categorize and label boxes, and start your inventory.

    14 days before moving day

    • Make sure you've chosen an electricity plan or set up a date to transfer service to your new address.
    • Continue packing boxes.
    • Confirm arrangements and dates with moving and storage companies.
    • Transfer newspaper and magazine subscriptions (if applicable).
    • Inform the moving company of any new items or issues you've discovered that may affect the move, and discuss the cost and moving date implications.

    The week before moving day

    • Pack up or throw out perishables.
    • Power down and pack up your computer.
    • Mark any items you do not want packed, as well as boxes you will want access to first.

    Moving day

    • Have your mobile phone charged and accessible all day. 
    • Create a list of all essential personnel phone numbers, vendor or customer contact information and customer contacts for emergency purposes. 
    • Before the truck leaves, ask the movers to confirm the exact destination address and your contact information.
    • Make sure water, gas, electric, trash pickup or other utilities have been scheduled to end or be transferred to your new address.
    • According to the requirements of your landlord or building, turn off all lights, shut and lock all windows and adjust the thermostat.

    Settling in

    • Send a reminder to clients and important contacts that your have moved, and include the new address.
